What this workflow gives you

Works with any platform

Upload the recording file from Zoom, Microsoft Teams, Google Meet, Webex or any other call app.

Speakers for minutes

Speaker labels separate participants so you can attribute decisions and action items.

Meeting summaries

With an account, a Meeting-style AI summary with source references drafts your minutes.

How it works

  1. Download the recording. Save the MP4 or M4A from your meeting platform. Cloud recordings can usually be downloaded from the recording page.
  2. Upload it. For video, only the audio track is extracted and uploaded. Files can be up to 6 GB.
  3. Review and share. Rename speakers, check decisions and export DOCX, PDF or Markdown minutes.

Why transcribe meeting recordings?

A meeting recording is only useful if someone can find the important part. A transcript lets colleagues who missed the call catch up in minutes, settles questions about what was agreed and turns spoken decisions into written minutes. Search the transcript for "deadline" or a client's name and click the timestamp to hear the discussion.

Where to find your recording

Zoom

Local recordings are saved to the Zoom folder on your computer, usually as an MP4 plus an M4A audio file. Cloud recordings can be downloaded from the recordings section of your Zoom account.

Microsoft Teams

Teams meeting recordings are generally stored in OneDrive or SharePoint and can be downloaded as MP4 from there, depending on your organisation's settings.

Google Meet

Meet recordings are saved to the organiser's Google Drive, typically in a Meet Recordings folder, from which you can download the MP4.

Menus change over time and your administrator may restrict downloads, so check your platform's current help pages if you cannot find the file.

Built-in transcripts vs Media2Text

Meeting platforms increasingly offer their own transcripts, often depending on plan and language. Uploading the recording to Media2Text is useful when the built-in transcript is unavailable, when you need 60 documented transcription languages, when you want exports such as DOCX, CSV, JSON, SRT and VTT, or when you want a translated track that keeps the original timing.

From transcript to minutes

Rename the speakers, then draft minutes with decisions, owners, deadlines and open questions, each with a timestamp. A Meeting-style AI summary can give you a first draft; verify every action item against what was actually said. The meeting transcription guide includes a reusable minutes template.

Privacy

Meeting recordings can contain confidential information. For video files, Media2Text extracts audio in the browser so the video stays on your device; prepared audio is retained according to the privacy policy. Check your organisation's rules before uploading.

Making meeting transcripts searchable for the team

Export DOCX or PDF minutes for people who need a summary, and keep the full transcript for reference. A consistent file name such as the date, team and topic makes transcripts easy to find later. For recurring meetings, keep decisions and action items in the same format every week so anyone can scan the history. CSV and JSON exports are useful if you track action items in a spreadsheet or another tool.

Reviewing the transcript before you use it

Automatic transcription gives you a fast, timed draft. Before you publish, quote or share it, spend a few minutes on the parts that matter most. Rename the speaker labels so every export shows real names. Use find and replace for names, brands and technical terms that appear more than once. Then click the timestamps for the passages you will actually quote and listen to them: overlapping voices, background music and fast speech are where errors cluster. The editor keeps the text and the audio together, so checking a line takes seconds instead of scrubbing through the whole recording.

Plans

The free trial includes up to 2 lifetime transcription tasks sharing 75 minutes in total, with no credit card. Paid plans have unlimited uploads and accept files up to 5 hours 15 minutes long.

Questions and limits

Does Media2Text join my meetings?

No. It does not join live calls or act as a meeting bot. You upload a recording after the meeting.

Which file should I download from Zoom?

Zoom saves an MP4 video and often an M4A audio-only file. The M4A is smaller and transcribes the same speech.

Can it transcribe a Teams or Google Meet recording?

Yes. Download the MP4 recording from Teams, SharePoint, OneDrive or Google Drive and upload it.

Do I need participants' consent?

Recording and transcription rules vary by location and organisation. Announce the recording and follow your company's policy.
